EXECUTIVE ASSISTANT

JOB DESCRIPTION

Reports directly to the Executive Director

  1. Maintain appointment schedules and calendars for the Executive Director and Board of Directors; arrange meetings and conferences
  2. Receive and screen email and phone communications to the Executive Director, the Asst. Exec. Director and the Board of Directors
  3. Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  4. Prioritize, channel, and facilitate communication to and from the Board of Directors, The United States Olympic Committee (USOC), The USA Boxing Foundation, Committees and Task Forces, department heads, and USA Boxing attorneys through the Executive Director’s office
  5. Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary
  6. Coordinate all meetings and travel arrangements for the Executive Director, USA Boxing Board of Directors, USA Boxing Foundation Board and International Federation (AIBA) representatives, as required
  7. Attends USA Boxing Board of Director meetings, coordinating details
  8. Records, composes and distributes minutes of the USA Boxing Board meetings and related conference calls
  9. Assist Executive Director and Asst. Exec. Director with preparation of presentation materials
  10. Prepare reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software
  11. Coordinate office activities and schedules; develop and recommend office procedures and systems; ensure smooth office operations
  12. Maintains departmental files and supports the Executive Director and Asst. Exec. Director in organizing and managing the administrative duties of the Executive positions
  13. File and retrieve corporate documents, records, reports
  14. Provide follow up to assignments given to management by the Executive Director; provide status reports to the Executive Director
  15. Sends correspondence and manages all communications to international federations, as directed
  16. Office supplies inventory by checking stock to determine inventory level; anticipating needed supplies, evaluating new office products; placing and expediting orders; and verifying receipt
  17. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks

Requirements:  Administrative Writing Skills, Reporting Skills, Supply Management, Scheduling, Microsoft Office Suite Programs, Organization, Time Management, Travel Logistics, Verbal Communication
