Requirements to Sanction a Star FITA Tournament

Hosting a Star FITA tournament means world records can be attained by qualified archers. The host club must hold current USA Archery club membership or State Association status and the tournament must be conducted in accordance with World Archery Federation (WAF) Rules and Regulations. The complete WAF Rules and Regulations can be found under Resources.   The fee to register a Star FITA tournament with USA Archery is $70, a portion of which is paid to World Archery for this status. If the tournament is cancelled, a refund of $35 will be returned to the sponsoring host club.

The following specific requirements are necessary to host a Star FITA tournament:

  1. A minimum of 30 days advance notice.
  2. Agree to abide by the requirements of USA Archery and World Archery.
  3. Identify by name a USA Archery judge (official) for the event in addition to assuring USA Archery that all the necessary officials have been selected to assist in conducting the tournament.
  4. Provide scorecards to the tournament participants that must abide by World Archery rules and regulations as stated in the most current WA Rule Books in the event a world record was set

How to Host a Star FITA Tournament

Keep the following goals in mind when planning a Star FITA Tournament:

1)    Be well organized.

2)    Have a strong volunteer-based staff.

4)    Field setup and layout.

5)    Consider the archers carefully. What will allow the archers to focus while assuring that their basic needs are met.

6)    Concentrate on both large and small details such as signs showing the directions to registration, equipment inspection and the nearest restroom facilities.

7)    Communication with the archers before and after the shoot.

Planning for a Star FITA Tournament requires attention to details and careful preparation. The following focal points are basic suggestions for conducting a FITA Round with an OR Round. Adjustments will be necessary if conducting an Indoor Round, Field Round or any round qualified by the World Archery Federation to be a Star FITA tournament.

1)    Start at least six (6) months in advance and have a schedule for when to complete the tasks.

2)    Register the tournament with USAA at least 30 days (or sooner) in advance.

3)    Reserve the venue.

4)    Advertise your event by mailing out a flyer or email to your club members and to clubs in nearby states. You can find USAA member clubs with email addresses on the Find a Club Locator map on the USAA website.

5)    Line up sponsorships to ease the financial burden of the event.

6)    Reserve a block of rooms in at least one hotel for participants who must travel to the event.

7)    Line up officials and a volunteer staff for the event.

8)    Set up an account with a nearby bank to handle the flow of money.

At least one (1) month in advance or sooner:

1)    Organize use of equipment and amenities including butts, stands, tents, clipboards for scorecards if available, chairs, coolers, tables and chairs for registration and results, scoreboards, restroom facilities, concessions and parking.

2)    Order target faces along with the amenities listed in number one.

At least two (2) weeks in advance:

1)    Organize the registration list. This will give you complete contact information, the category the archers are shooting in, USA Archery membership information and lists of who paid to participate in the tournament.

2)    Set up brackets for the elimination round (if the OR round is part of your event).

3)    Create an email list and send out a confirmation notice with updated information archers could use.

4)    Create a database for mailing labels to place on both the FITA scorecards and the elimination scorecards.

5)    Compile a welcome packet which should include a program, a back number and safety pins, a map to local attractions and a schedule of the event.

6)    Set up target assignments for the FITA rounds and determine the OR round.

7)    Create name tags for the scoreboard.

8)    Contact local news outlets for potential coverage.

At least one (1) week in advance:

1)    Paint and then layout the field

2)    Check assignments. This process will allow you to identify late entries or dropouts

3)    Confirm with local news outlets that the event will be covered.

One (1) day in advance:

Set up the field. This process includes butts, stands, target faces, wind flags, distance markers, lanes and target numbers, designation of shooting lines, a sound system to keep the participants entertained and to announce instructions, a timing system, tents, coolers with ice, water and cups, registration area, target faces and a scoreboard.

The First Day of the Tournament:

1)    Hand out welcome/registration packets and do an official check in.

2)    Hand out a complete list of participants to officials. This list will help verify target assignments and improve equipment inspection.

3)    Have a crew ready to handle any last minute problems. (There will be last minute problems!)

4)    Throughout the course of the tournament, you will need to keep the scores updated from running score sheets.  After every 12 arrows, run the score sheets to keep the scoreboard updated as much as possible.

After Completion of the First Day:

1)    Fill in the names on the elimination brackets and print out copies for the participants.

2)    Complete the tabulation of results and make copies for all of the participants.

3)    Post bracket and cut information at various areas where archers will be heavily populated.

Day two of the event:

1)    Hand out brackets (on clipboards) and score sheets to each participant. The brackets should include target assignments for each match.

2)    When a participant has completed the day, collect the score sheet and post the results.

Day following the event:

1)    Post the results on the club web page.

2)    Email participants that results are available.

3)    If National or World records were set, send results to USA Archery.

4)    Survey participants and volunteers for what can be done better for next Star FITA tournament.


The U.S. Consumer Product Safety Commission’s National Injury Information Clearing House completes a study that stated the sport of archery had the least amount of injuries of all sports in 1998. While archery is one of the safest sports, injuries do occur. The following tips help prevent the risk of injury during your tournament.

1)    Have available on the field at least one basic first aid kit. Make sure all staff knows where the kit is located in case of an emergency.

2)    Have at least one phone near the field along with directions on how to call out from the venue.

3)    Find out the local, state and national regulations for venue and event.

4)    Post proper rules of archery at various places around the venue and enforce.


Depending on the size of your tournament, the number of staff will vary. Staff tasks will include:

1)    Setting up the field

2)    Taking registration

3)    Preparing score cards

4)    Compiling the results

5)    Officials (judges)

Staff numbers will vary:

1)    Every ten (10) targets requires one official (judge).

2)    For every 10 to 20 archers, at least three people are needed to set up the field and one person is needed to handle registration, make score cards and compile results.

3)    For every 100 + archers, four or more people are needed to set up the field, maintain it throughout the event and to handle the registration details.

4)    A Director of Shooting should be named to manage the timing system.

5)    A Chairman of Judge may be appointed to manage a large tournament requiring several officials.
